As the classroom teacher, you are responsible for preparing and leaving the following materials for your substitute teacher:

  • A legible copy of each student’s current IEP. Section J(accommodations/modifications), section G (goals and objectives) and Behavior Support Plan(if applicable)
    Preparation tip: Tab the goals pages and the other most important information for easy readability for your substitute.
  • Section 504 Plan
  • Student attendance information
    Elementary and secondary attendance information is covered in the general sessions of the Teacher Training Academy
  • Class roster
    Preparation tip: Be sure that this is current and accurate.
  • Lesson plans
    Preparation tip: It is preferable for the substitute to do work with the class that is familiar to the students. Do not have the substitute introduce new skills or concepts.
  • Appropriate key(s)
    These are obtained in the office when the substitute arrives at your school.
  • Seating chart(s)
    Preparation tip: Make a drawing of your classroom and label where each student sits. You may also want to leave nametags for the students to wear.
  • Security and emergency plans
    Preparation tip: Check with your site’s administrator as to how this should be prepared.
  • Behavioral intervention plan(s), if any
    Preparation tip: This should include a description or listing of any strategies that are not effective and should not be used with the student.
  • Schedule for the class
    Preparation tip: This is your posted daily schedule of lessons.
  • List of persons who know the students
    Preparation tip: These should be people who can provide additional assistance to the substitute.
  • Emergency information for each student
    ie. seizure care, medication schedule (dispensed at the office, NEVER by the teacher), etc.

  • It is recommended that you keep the above listed information in a clearly marked file that is easily located on your desk. Some schools require that the sub’s folder be kept in the office. Some schools have their own design for sub folders.
